Job Description:
Description Job Title: Accounting Specialist (Accounts Payable &
Accounts Receivable) Position Summary The Accounting Specialist is
responsible for supporting the day-to-day financial operations of
the organization, with primary responsibility for both Accounts
Payable (AP) and Accounts Receivable (AR) functions. This role
ensures accurate and timely processing of vendor payments, customer
invoicing, collections, and financial recordkeeping. The ideal
candidate is detail-oriented, organized, and capable of managing
multiple priorities in a fast-paced environment. Key
Responsibilities Accounts Payable (AP) Process and verify vendor
invoices for accuracy, appropriate approval, and proper coding
Match invoices to purchase orders and receiving documentation
Prepare and process weekly check runs, ACH, and wire payments
Maintain vendor files and ensure W-9 documentation is up to date
Reconcile vendor statements and resolve discrepancies in a timely
manner Respond to vendor inquiries regarding payment status Assist
with month-end close by preparing AP accruals and reports Ensure
compliance with company policies and internal controls Accounts
Receivable (AR) Generate and distribute customer invoices
accurately and timely Post customer payments (checks, ACH, credit
cards) Reconcile customer accounts and research payment
discrepancies Monitor aging reports and follow up on past-due
accounts Communicate professionally with customers regarding
billing inquiries Process credit memos and adjustments as needed
Assist with month-end AR reporting and reconciliations General
Accounting Support Assist with month-end and year-end closing
processes Prepare journal entries and maintain supporting
documentation Perform account reconciliations Support audits by
providing requested documentation Maintain accurate financial
records and filing systems Assist with special projects as assigned
Qualifications Education & Experience Associate’s or Bachelor’s
degree in Accounting, Finance, or related field preferred 2 years
of experience in accounts payable and/or accounts receivable
Experience with accounting software (e.g., QuickBooks, NetSuite,
SAP, or similar ERP systems) Strong working knowledge of Microsoft
Excel Skills & Competencies Strong attention to detail and accuracy
Excellent organizational and time management skills Ability to
prioritize and meet deadlines Strong analytical and problem-solving
abilities Effective written and verbal communication skills Ability
to handle confidential information with discretion Knowledge of
GAAP principles preferred Work Environment Primarily office-based
or hybrid work environment May require extended hours during
