The Convention Services Manager is responsible for coordinating, managing, and executing group assignments turned over by the Sales Department.The Convention Services Manager monitors all contractual agreements pertaining to guest room blocks, meeting space, food and beverage and special concessions and effectively communicates to all hotel departments the information necessary to successfully execute the group's needs while maintaining a good client relationship. CORE WORK ACTIVITIES Reviews group billing following departure before accounting sends the final bill to the client. Respond to any reservation changes after the rooming list has been entered in the system Completes resume---s for rooms only groups, on-site group contact Ensure that all special arrangements, F&B, AV & other requests are properly documented on BEO---s and or Resume---s for all groups with banquet catering needs Generate VIP and amenity forms as required Negotiate food & beverage prices, function space and hotel services within approved departmental booking guidelines Makes presence known to on site customer at all times. Develop strong customer relationships through appropriate client communication and the use of professional, courteous and ethical interpersonal interaction. Ensures function rooms are set according to Banquet Event Orders (BEO---s) and customer requirements. Attend and participate in meetings with hotel staff and clients, including but not exclusive to Weekly Resume Meeting, Weekly BEO Meeting, Sales Stand Up Daily, Pre-Convention Meetings, Menu Tastings, Planning Visits and Site Visits as needed. Assist Banquet Team as required, particularly during large group movement Delegate tasks to ensure room sets are on time and meet Banquet Service Standards. Conducts function room inspections prior to each function to ensure the room is set according to specifications. Acts as a liaison between group contact and banquet team and the throughout the event. Stays available to solve problems and/or suggest alternatives to previous arrangements. Interacts with guests to obtain feedback on product quality and service levels. Comply with The Alida Rules and Standards of Conduct as set forth in the Team Member Handbook. CANDIDATE PROFILE Education and Experience High school diploma or GED; At least one (1) year experience in the event management, food and beverage, or related professional area.
