Job Description:
PRIMARY FUNCTION: This position is responsible for ensuring that
the administrative operations of the department are efficient,
orderly, and focused on providing service to our customers and
vendors.
REPORTS TO: Deputy Superintendent of Teaching and Learning
SALARY SCHEDULE: G-9
WORK DAYS: 250
REQUIREMENTS:
High school diploma or equivalent
Two years of post-secondary training from an accredited school
Experience, Skill, and Certification:
- At least five years of administrative work experience
- Demonstrable knowledge of common office procedures and
practices; knowledge of various computer programs (preferably
Microsoft Office, including Word, Excel, Access and
PowerPoint)
- Proven excellence in customer service, interpersonal relations
and communications skills Superior skills in data entry, typing,
organizing work, and performing other related functions
Preferred:
- Work experience with this district
- Experience with the district's Purchasing and HR/Payroll
processes
- Supervisory experience
Duties and Responsibilities:
- Monitors the workflow of and trains the department's
secretarial staff.
- Prepares a variety of correspondence and reports, including
financial reports; maintains complete and accurate files; and
performs other secretarial functions as necessary.
- Coordinates the purchase order process for the department by
entering purchase orders, reviewing vendor invoices, reconciling
vendor statements, and maintaining other necessary purchasing
records, all based on Purchasing Department procedure.
- Maintains payroll records and perform payroll data entry for
all personnel in department.
- Maintains fixed asset information and coordinates inventory
control processes.
- Maintains confidentiality of all personnel data and other
information and discussions, whether written or verbal.
- Performs other department-specific tasks related to budgets,
record-keeping, computer programs, or other related issues.
- Assigns work as needed to office assistants, student aides,
etc.
- Conducts research as needed on assigned topics/issues.
- Prepares materials and locations for meetings/conferences as
assigned.
- Performs other duties as necessary for the effectiveness of the
organization.
