Job Description:

We are looking for an Accounting Administrative Assistant to join the Martin Landscape Team.  The ideal candidate will be able to work efficiently in a fast-paced environment, handling day-to-day office tasks as well as accounting activities and acts as the company liaison with clients and visitors.  The Accounting Administrative Assistant will embrace the company Vision, Mission, and Core Values: Passion, Pride, Teamwork, & Relationships!

Physical Setting – Office Environment

Essential Responsibilities

* Manages incoming and outgoing communications by answering all incoming calls, greeting visitors, accepting deliveries, and sending messages to the appropriate manager via telephone, text or email. * Types reports (i.e. gas logs, phone tree, timesheet calculations/verifications), business correspondence, and other standard forms using company standards and protocol. * Files records and reports, posts information to records and client files, and properly sorts and distributes all client and employee mail correspondence. * Maintains office organization, orders and maintains supplies and forms, and daily tasks that require leaving the office for bank deposits and office supplies. * Maintains an updated employee calendar of birthdays, work anniversaries, and requested days off. * Interfaces with the Account Managers and supports sales in maintaining certain reports such as prospects reports and assists in the support of any administrative needs. * Accounting tasks, such as preparing checks, creating budgets, calculating billing statements, processing invoices & payments, assist with collections, preparing and submitting tax forms, coding documents, assists with the month-end accounting closing process, compiling financial records and managing inventory records are also included in this job role. * Any other duties as they arise Knowledge and Experience

* High school diploma is required, additional education a plus. * Strong math & analytical skills. * Highly fluent with the Microsoft Office Suite (O365) * A pleasant, friendly personality with customer service experience. * Due to this position often being the first point of contact for the company, strong verbal and written communication skills and a professional presentation of oneself is a must. * Strong demonstrated ability in office administration. * Knowledge and application of basic bookkeeping skills is helpful. * A/P and A/R experience * Commanding organizational skills; ability to set priorities and meet deadlines; keen attention to detail; ability to work on multiple responsibilities are all necessary. * Highest regard in conducting all interactions with staff, clients, and vendors with integrity, professionalism and confidentiality.
