an Executive Assistant to the President and Chief Operating Officer
(COO) to join the team and provide a full range of high-level
support to the President and Chief Operating Officer. As the ideal
candidate, you will have a take-charge personality, strong
attention to detail, and the ability to handle multiple projects
simultaneously with excellent follow-up skills. Your positive
energy coupled with a keen ability to handle all situations with a
sense of urgency, professionalism, and discretion will be keys to
your success.Responsibilities
- Develop presentations, flow charts, and other collateral.
- Ensure business communications are well-written, timely,
professional, and effective.
- Collect, analyze, and summarize information as part of research
projects.
- Schedule and organize activities such as meetings, and all
domestic/international travel arrangements.
- Ensure division is compliant with process documentation under
the direction of the President and COO.
- Work with department heads and the budget teams to ensure that
headcount is aligned with true business needs, and help to develop
and implement strategies to meet the organization's current and
future needs.
- Create strong working relationships at all levels within the
organization in order to build partnerships that yield success and
credibility.
- Coordinate special projects as requested by the President and
COO.
- Manage general supplies for the department.
- Manage and provide support to the Front Desk Coordinator when
needed. Qualifications
- Bachelor's Degree or equivalent experience in relevant work
environment is required
- Minimum of 3-5 years supporting C-level executives
- Heavy calendar and travel management experience
- Must be self-directed with strong problem-solving skills
- Must excel in a chaotic environment
- Strong analytic capabilities
- Strong ability to exercise discretion, judgment, tact, and
poise in handling sensitive and confidential information
- Must be proficient in Microsoft Office Suite
- Physical demands for this position frequently include: the
ability to remain in a stationary position, move about freely
inside and occasionally outside of the office, and the operation of
